Relational Database system
A Relational Database system is a computer database which allows the user to store data which relate to each other. The database is usually made up of tables with rows and columns. Each table drawn comprises of records, similarly each record is described by a field which contains a unique value. Each table in the database shares not less than one field with another table in the “one to one” or “many to many” relationship. These relationships allow users to access data in many ways and combine the tables building a complex and large database. Using a Relational database management system is an excellent way of enhancing efficiency, data integrity, sorting and filtering data, sharing data, and providing stronger security for an organizations data. This paper seeks to discuss the use of Relational database system in business making work more accurate and consistent thereby saving time which could have been wasted while using traditional methods (Rainer, 2011).
Improved data integrity
Relational database management system gives the user the ability to cross-reference data that are stored by a business resulting in a higher level of integrity. Because of its ability to eliminate duplicate data, the degree of level of data integrity is improved helping employees or management to make informed decisions based on the information therein. Any updates are made quickly and promptly since everybody with access can view changes made immediately. Data integrity is one of the primary business advantages of relational database system.
Information sharing
Relational database system also allows users to share data and information simultaneously. All the changes and updates made are easily shared since the information required is within the system.
Efficiency and Speed
The fact that data is rapidly updated or changed helps to improve efficiency and speed. Employees and managers no longer have to wait for information, or to be allowed to access a file because someone is using it significantly minimizing time wasted in waiting. It is also quick as users can query and get answers immediately and access information of interest at a specific point in time (Teorey, 2011).
Easy Retrieval of related information
The system allows users to access information related to others just in case they were not exactly what one was looking for. Users can delve deeper and locate information needed through the information that has already been sorted and filtered by the system.
Concise
A good relational database requires detailed work in designing, but once important elements in place the system is very concise looking at it from the user perspective. The information can be accessed with little effort thereby leading to efficiency and better speed in working.
Security
Security threats are minimized by using relational databases this is because it rules out the need to protect fragmented data or information stored in various localities. This system it is easier to lock, backup and secure information as compared to flat file system. Relational database system can be designed to have different access levels where users can only be allowed to access information, which is related to their jobs. They can be protected using authentication steps and passwords so that there is a record of user access and that, users will access areas only allowed to them. In as much as nothing is 100% secure with regards to digitizing information, putting in place access control measures will go a long way in improving security of information. (Stair, 2013).
Conclusion
Computer databases play a crucial role in today`s business environment. While a database is a brilliant step in managing or dealing with business data so as to get information out of it, relational database system is even better since it allows users to easily update information either in batch or real time. It also allows ad hoc drill down queries and answers, permitting the user to add fields without necessarily redoing the database as a whole and also modifying the data to meet the needs of the user. Multinational Companies such as Microsoft, IBM and more use this type of system and are very successful.
